A primary responsibility for this position include ensuring the efficient operation of office functions for all Gulf Winds locations including ordering and maintenance of office equipment and supplies. Other responsibilities include provide administrative support to the executive management team. This position requires a high level of confidentiality, multi-tasking capabilities, and superior communications ability.

Essential Duties and Responsibilities

Includes the following. Other duties may be assigned as deemed appropriate by Senior Management.

  • Coordinates office support systems by monitoring, ordering, and arranging for maintenance and upkeep of office equipment, supplies, cleaning services, vending and other office administration activities.
  • Responsible for all incoming mail, making sure that it is opened and distributed to all appropriate office staff.
  • Responsible for making sure that all checks received via mail are opened and taken to the appropriate office staff.
  • Provides administrative support to executives including making travel arrangements, managing confidential correspondence/information, and other activities as requested.
  • Organizes and coordinates the purchase and distribution of promotional materials internally.
  • Fulfills responsibilities of switchboard operator (providing directions, phone numbers, and website when needed.)
  • Provides professional communication with customers, i.e. co- workers.
  • Either independently or with others, coordinates employee activities.

Responsible for aligning the business strategies of a company with its technology. Communicates with external clients and internal teams to deliver GUI, interface and screen designs. Acts as liaison between technology teams, support teams, and business units.

Essential Duties and Responsibilities

  • Design requirements with task and workflow analysis, document analysis, requirements workshops, surveys, site visits, business process descriptions, use cases, scenarios, and business analysis.
  • Confer with external customer to analyze needs and requirements.
  • Deliver the following to customers: (Functional requirements (Business Requirements Document), iii. Use Cases, GUI, Screen and Interface designs)
  • Use enterprise-wide requirements definition and management systems.
  • Confer with project managers to define concepts.
  • Meet with business units to discuss execution of plans.
  • Interpret customer business needs and translate them into application and operational requirements.
  • Act as liaison between customers and the software development team.
  • Use natural language to develop requirements specifications.
  • Help establish technical vision.
  • Analyze tradeoffs between usability and performance needs.
  • Identify, analyze, and document business requirements.
  • Deliver work products throughout the project life cycle.

  • Effectively communicate and schedule all pick-up and delivery order information with over the road carriers on all transload and brokered moves.
  • Take all shipment requests from the customer such as pickup, delivery, document requests, and any other instructions.
  • Receives delivery orders and opens MR, weight certificates and sample orders as needed.
  • Notify transportation relevant pickup and/or delivery information.
  • Generate delivery order or bill of lading if applicable.
  • Maintain a current list of carrier contacts e.g. name, phone number, fax number and email.
  • Ensure all files are sent to the accounting department and billed.
  • Cross train with other Warehouse Customer Service Representatives.
  • Generate inventory reports to be sent out to customers at the 1st of each month.
  • Maintain a current rate sheet along with procedures for each client.
  • Communicate customer needs to warehouse supervisor.

Primary responsibility is to manage the shipping and receiving window in a timely and accurate manner. Coordinate activities in support of GWI customers, office and warehouse staff.

Essential Duties and Responsibilities

Includes the following. Other duties may be assigned as deemed appropriate by Senior Management.

  • Monitor shipping and receiving window and check in/out all Gulf Winds and 3rd party drivers
  • Retain and file all necessary paperwork
  • Assist warehouse CSR’s with scanning, uploading, and completing paperwork in system as directed
  • Support warehouse personnel and team members as needed by providing any pertinent information or documentation in relation to the duties listed
  • Schedule warehouse appointments with carriers as required
